LeaderQuant.ai (“we,” “us,” “our”) provides an AI-powered leadership development platform that analyzes conversations and provides coaching insights to help leaders develop their skills.

Immediate Deletion After Analysis: Raw audio recordings and full verbatim transcripts are permanently deleted from our systems immediately after AI analysis is complete. We retain only the AI-generated outputs: leadership scores, short evidence quotes (brief excerpts from the conversation), coaching insights, and development recommendations. This means we keep the analytical results — not the original recording or full transcript. If analysis fails, audio and transcript are retained for up to 72 hours for debugging, then automatically deleted.

We comply with the CAN-SPAM Act, including honoring unsubscribe requests within 10 business days, including our physical mailing address in every marketing email, and never using deceptive subject lines.
3.3 To Train and Improve Our AI Models

We use anonymized and de-identified conversation data to improve the accuracy and quality of our AI coaching models. This is a core component of how LeaderQuant.ai works and improves over time.
What We Use:
De-identified conversation transcripts (with all names, companies, and identifying information removed)
Anonymized behavioral patterns and leadership metrics
Aggregated feedback on AI coaching quality
What We DON’T Use:
Your personal information (name, email, organization) – these are stripped before any training use
Identifiable conversation content that could trace back to you or your organization
Any data after you’ve deleted your account (we anonymize monthly scores but delete detailed conversations)
Why This is Essential:
AI models learn from real conversations to recognize effective leadership behaviors. Without training on actual conversation data, the platform cannot improve its analysis accuracy or recognize nuanced leadership patterns.
Your Rights:
You can delete your account, which removes all identifiable data
You cannot opt out of AI training while actively using the service, as this is fundamental to how the platform works and improves.
4. How We Share Your Information

Data Use: NOT used for model training by Anthropic (commercial API)
Retention: 7 days for abuse monitoring, then deleted
Transcription Provider:
AssemblyAI – Audio Transcription
Purpose: Transcribing audio recordings of 1:1 conversations
Data Shared: Audio files and resulting transcripts
Data Use: Opted out of model training for LeaderQuant.ai customers
Retention: AssemblyAI retains recordings for up to 72 hours and transcripts for up to 3 days by default. LeaderQuant.ai actively deletes transcripts from AssemblyAI via their API immediately after our analysis pipeline completes, rather than relying on their default retention period.
Infrastructure Providers:
NeonDB (PostgreSQL) – Database Hosting
Purpose: Secure database hosting for all platform data
Raw audio recordings — permanently deleted immediately after analysis completes
Full verbatim transcripts — permanently deleted immediately after analysis completes
This approach minimizes the sensitive data we store while preserving the coaching intelligence you need for your leadership development. Once the AI has extracted insights from your conversation, the original recording and transcript are no longer needed and are permanently removed.
5.2 When You Leave Your Organization

What Happens to Your Data:
When your organization stops paying for your account (e.g., you leave Company A):
Your account becomes “unaffiliated” – No longer linked to Company A
Company A retains their data for 30 days: Includes all conversation transcripts, audio, individual scores, and evidence quotes
After 30 days, Company A’s data is deleted: Transcripts, audio, and evidence are permanently deleted
Your organization owns conversation data as part of their leadership development program. Individual conversations can only be deleted by:
Your organization administrator (as the paying customer and data owner)
Platform administrators (in response to legal requirements or court orders)
Automated deletion (upon account termination after a 30-day grace period)
Individual Users Cannot:
Delete their own conversations while employed by the organization. This is similar to how employees cannot delete performance reviews or training records.
How to Request Deletion:
While Employed: Contact your organization administrator
After Leaving Organization: Former organization data is automatically deleted after 30 days
5.4 Prospect Data Retention

6.1 How We Protect Your Data

Role-based access control (RBAC) with 6 permission levels enforced across all platform routes

Rate-limited login (5 attempts per minute) and registration (10 per hour)
24-hour session timeout after inactivity

7. Your Rights and Choices
7.1 Access and Control Your Data
What You Can Do:
7.1.1 Access Your Information: View all your conversations and analysis in the platform, or download your data.
7.1.2 Correct Your Information: Update your profile and preferences in account settings.
7.1.3 Delete Your Information: Request anonymization of your personal data. Upon verified request, we will remove all identifying information from your account while preserving anonymized analytical data. See Section 5.3 for details.
7.1.4 Portable Profile Access: If you have an individual subscription, you maintain full access even when unaffiliated with an organization.
7.1.5 Export Your Data: Download a complete export of your personal data at any time directly through the platform. Your export is generated instantly in JSON format and includes your profile information, conversation data, relationships, and feedback history.
Service Communications (Required): If you are a registered platform user, you cannot opt out of account notifications, security alerts, or policy changes. These are necessary for the operation of your account.
Marketing Communications (Can Opt Out): You may opt out of all marketing communications at any time by clicking the unsubscribe link included in every marketing email, or by emailing steve@leaderquant.ai. This includes educational content, product updates, event invitations, and leadership insights. We will process your unsubscribe request within 10 business days.
Optional Platform Communications (Can Opt Out): Registered users can opt out of weekly coaching summaries, feature announcements, and tips via Account Settings or unsubscribe links.
7.3 Advertising and Marketing
We Don’t Use Your Data for Advertising: We do not sell data to advertisers or use retargeting pixels. Marketing communications sent by LeaderQuant.ai are limited to information about our own platform and leadership development content.
7.4 Do Not Track
Our platform does not respond to “Do Not Track” signals because we don’t track users across websites.
8. State-Specific Privacy Rights
8.1 California Residents (CCPA/CPRA)
California residents have the right to know what personal information is collected, the right to delete personal information, the right to correct inaccurate information, and the right to non-discrimination for exercising these rights. We do not sell or share your personal information.
8.2 to 8.9 Other States
Residents of Virginia, Colorado, Connecticut, Utah, Montana, Oregon, Texas, and Delaware have similar rights regarding data access, correction, deletion, and portability. We respond to such requests within 45 days.

9. International Data Transfers
9.1 Where Your Data is Stored
Primary Location: United States. All data is stored and processed in the U.S. using Replit, NeonDB, and U.S.-based AI API servers.
9.2 If You’re Outside the United States
We primarily serve U.S.-based customers. If you access the service from outside the U.S., you consent to the transfer and processing of your data in the United States. We cannot guarantee GDPR compliance at this time.
10. Children’s Privacy
10.1 Age Requirement
LeaderQuant.ai is not intended for anyone under 18 years old. We do not knowingly collect information from children.
10.2 If We Discover Child Data
If we learn that we’ve collected information from someone under 18, we will delete the account and associated data immediately.
